This is Tim Schmidt your Board President. Oh behalf of all the board members, we want to thank you for your support and we wanted to take minute to provide you with some information about the upcoming Special Board Meeting scheduled for Friday, December 20th at 7pm.
You should have received an email from Top Notch with the agenda but I’m attaching it here just in case you missed it – the subject line was
“Board Meeting Agenda 12-20-24” – our communication will improve as our transition to Top Notch stabilizes.
As you know we, as a community, have a lot of work to so we are holding an off cycle meeting in an effort to get traction on a number of pressing issues. It goes without saying we need everyone’s help.
The agenda is 3 pages long so we won’t have a lot of time for conversation. Our goal is to provide updates on the CAM conversion, share the November financial results and vote on a number of objectives. The pressing issues are as follows:
- Vote to establish interim spending controls to ensure no one can spend money in any amount without 2 signatures
- Vote on next steps to confirm the $250k bid for 186 hasn’t changed, and vote to move forward with existing quote for stairs, handrails and pavers or get an additional quote
- Vote to spend money on an attorney to generate and deliver a demand letter to previous board members who are holding community property (e.g vendor contacts, contracts, keys, codes, receipts, printers, cameras, etc.). We are saddened to spend community money on an attorney given our current financial situation but repeated requests for this information have gone unanswered.
- Vote on establishing a number of committees. The committees will be the real strength behind the board so we need to get them established as quickly as possible. We have outlined some of the responsibilities we think the committees will have although we expect the committee’s input to define and finalize their focus. As a board we will not be debating the roles and responsibilities at the meeting, rather we will be voting on establishing the committee. We will also agree to have at least 1 board member assigned to each committee as a support member. We will circulate committee sign up sheets physically at the meeting and electronically after the meeting. We cannot say it enough - The Board cannot solve all the problems this community faces so we are asking for your help and participation in these committees
There will be time at the end of the meeting for community members to ask questions and offer input however we will not have a lot of time for extensive discussions. Our goal is to end the meeting within an hour.
In closing, we ask for your patience and grace as we gain our footing. We also ask for your help as the 5 of us can’t solve all the problems by ourselves.
